The gap between an enquiry and an appointment is the moment when the courage it took to reach out starts to fade, because no quick reply and no simple next step came to hold it.

Picture it. On a Tuesday at 11 pm, after one day too many, someone messages you on Instagram: “I think I need help, I haven't slept properly in weeks.” She hesitated for a long time before sending it. The next morning, the pressure has eased a little and a small voice tells her she was overreacting. If your answer lands on Friday, she no longer quite remembers why she wrote. She replies politely, or not at all.

It isn't that she lost interest in you. The courage to write to a wellness practitioner, a sophrologist or an energy healer has a short shelf life. Everything after her message either protects that courage or lets it wear off.

Why do wellness enquiries go cold before the call?

  • The delay. You were in sessions, then with family, then you wanted to write the perfect reply. Three days went by.
  • The questionnaire reply. “Can you tell me more about your situation and your history?” You hand the effort back to her when she has the least of it.
  • The vague reply. “Let me know when you're free.” Now she has to check her calendar, suggest a time and wait. Every back-and-forth is a chance to let go.
  • The silence after booking. The session is ten days away and nothing happens in between. She wonders if this is really for her and cancels the night before.

A wellness enquiry rarely dies from a no. It dies from a wait nobody looked after.

How do you reply to an enquiry and keep the connection?

Reply the same day, even briefly. If your days are full of sessions, set up a warm automatic reply on your contact form: “I've received your message. I'll get back to you personally before tonight.” That line alone tells her she has been heard.

Welcome her before you inform her. Pick up one of her own words so she knows you read her message. Then offer one concrete step: “Hi Sonia, thank you for writing. Weeks without proper sleep wears everything else down. Shall we talk for twenty minutes on the phone, no commitment? Thursday at 12:30 or Friday at 6 pm, does either work for you?”

Two specific slots beat a whole calendar: choosing between two options takes very little energy. Keep your full pricing and your detailed presentation for the call. Right now she doesn't need a document. She needs to feel that someone is expecting her.

How do you walk her to the day of the appointment?

  • The confirmation, sent right away: date, length, video link or address, and a line that removes pressure: “You don't need to prepare anything.”
  • A midway message if the session is far off: a short resource linked to her request, such as a breathing exercise for the evening.
  • The reminder the day before, in a personal tone: “See you tomorrow, Sonia.”

If she cancels, offer a new slot without guilt. If she goes quiet after your first reply, send one message a few days later, then leave the door open.
