A CRM for a coach is, above all, one record per client that answers three questions: where she is, what she has already been through with you, and what comes next. If your client record doesn't help you before a session or when it's time to offer the next step, it isn't doing its job.

A CRM is an address book that remembers each person's story. The word sounds corporate, but for your practice it's simple. Right now your information is probably spread across your inbox, your phone, a notebook and a half-finished spreadsheet. Then a former client writes after months of silence and you can't remember what you worked on together. You search, you hesitate, and she notices.
What should a coaching client record contain?
- Contact: name, preferred way to reach her, country for time zones.
- Source: how she found you, whether a referral, your website, a post or a workshop.
- Her starting request, in her own words, taken from her first message.
- Stage: interested, discovery call, in a programme, finished, past client.
- The programme she is following, with start and end dates.
- Session log: one line per session about what shifted.
- Next action, with a date.
A useful client record fits on one screen: if you have to scroll, you won't read it before your session. Re-reading a client's exact first words weeks later lets you show her how far she has come, one of the most powerful moments in coaching.
Why the stage matters more than the details
The stage lets you see your whole practice at a glance. Part of a coaching practice's income is decided between two programmes, when a client finishes and nobody offers her what comes next. With a stage and an end date, you see that moment coming and prepare the conversation. The same goes for people who wrote to you without booking: the stage reminds you they exist.
How to keep it up to date without losing your evenings
The record creates itself when someone fills in your website form. One line right after each session, two minutes at most; AI can later re-read those lines and highlight the progress. Always a dated next action, because a record without one is a relationship falling asleep. A weekly check-in with your practice, same day each week.
A good coaching CRM doesn't ask you to be naturally organised. It does the tidying and shows you only what needs doing today. If you want a client record built around your practice and linked to your website, tell us about your project.
