When you start out as a coach, your hours don't vanish into your sessions. They vanish into everything around them: five messages to book one call, chasing a payment, rewriting the same answer, preparing every session from a blank page. None of it shows, but it eats your week.

It's the strange part of the first year. You have few regular clients, yet you end the day drained, feeling like nothing moved forward. The issue isn't workload. It's scatter.
A stolen hour is an hour of work that brings you neither closer to a session nor closer to a new client. It isn't always useless. It's just badly placed, badly batched, or done by hand when it no longer needs to be.
Picture it. Someone messages you about a first call. You offer two slots. They can't make either. You offer two more. They confirm the next day. You send the video link, then a reminder, then you wait because they're running late. Half an hour has gone on a call that hasn't even started.
Which tasks steal the most time?
- Booking back-and-forth: offering, confirming, moving, reminding.
- Repeated answers: prices, how a programme works, practical details, typed fresh every time.
- Payment follow-up: checking who paid, chasing, sending invoices by hand.
- Session prep with no template: hunting through notes spread across notebooks and apps.
- Social media with no plan: opening the app to post and leaving forty minutes later with nothing posted.
How do you find your own leaks in one week?
For seven days, jot down every block of work: what you did, how long it took, and whether it served a session, a potential client, or something else. Don't judge it. Just write it down.
At the end of the week, sort every task into three piles: drop (nobody would notice if you stopped), batch (needed, but not ten times a day) and stop doing by hand (anything that repeats identically, like booking and reminders).
One honest week of tracking beats any new-year resolution, because it shows you the week you actually live rather than the one you imagine.
How do you win those hours back without changing everything?
Start by batching. Block one fixed slot for admin, say Friday morning, and let invoices and follow-ups wait for it. Then write your most common answers once, in a single page you can paste and personalise. Next, remove the booking ping-pong: a booking link showing your free slots, an automatic reminder the day before, a confirmation that sends itself.
Finally, protect your session hours like medical appointments. No email right before, no scrolling right after. A coach who walks into a session with a clear head simply coaches better.
The time you recover isn't for more admin. It's for two things: serving the clients you already have, and talking every week to the people who could become clients.
