The hours your admin work swallows do not come back by working faster. They come back when you remove the repeated motions: logging an enquiry, replying, offering a slot, sending a reminder, prepping the session, chasing an invoice. Each one costs little. Together they eat your week.
Where your hours actually go

A leadership coach is a practitioner who helps someone hold their role, make decisions and be heard. The admin is everything that surrounds the sessions without ever being part of them: booking messages, moved slots, session notes, invoices, chasers.
Coaching admin is not measured in desk hours. It is measured in interruptions.
Take one week. Every time you step away from client work, write down what you just did and how long it took, on the spot and not from memory. After five days your list sorts into two columns: what needs your judgement, and what only needs consistency. Your value sits in the first column. The second one is what you can hand back to your calendar.
What comes off right after the click
When someone lands on your site and wants to talk, everything that follows is written in advance:
- they fill in a form;
- they get a reply that confirms and explains what happens next;
- they pick a slot;
- they get a reminder the day before, with two or three questions to think about.
None of those four moments needs your judgement. All of them need to arrive fast, every time. An enquiry answered within the minute stays warm; one left until the evening cools down. The hours you win here come back twice: in time, and in calls that actually happen.
One place for client follow-up
The rest of the admin has a single cause: the information is scattered. A name in your messages, a thread in your inbox, a note in a notebook, a date in your calendar. Every time you want to know where someone stands, you open four places.
Practice follow-up means one line per person: who they are, what they asked for, where they stand, the next action and its date. You open it, you see it, you act. The win is not a pretty table, it is the end of searching.
The same place holds your sessions: what was said, what was decided, what you come back to next time. Prep takes two minutes instead of rebuilding a history.
Where to start when your time is already gone
In this order, one project at a time:
- the most frequent motion in your second column, the most frequent and not the most annoying;
- the reply to a new enquiry, because it decides what follows;
- the reminder before the appointment, which saves you the lost slots;
- follow-up in one place, once the first three run on their own.
One test the week after: you no longer do that motion by hand, and nobody writes to say something is missing. If you have to watch your own setup every day, it is not finished. Two traps to avoid: removing a motion you never did properly by hand, which only automates a mess, and building everything in one weekend, when one project at a time holds and four at once collapse.
Your hours do not come back in one go. They come back one motion at a time. Tell us about your project.
