## What is an automatic session note?

An automatic session note is a written summary produced from the recording of your session: the themes you covered, the realisations, the commitments made, the question to pick up next time. You no longer write it. You read it and correct it.

Right now, many practitioners do one of two things. Either they take notes during the session and look at their notebook instead of the person. Or they write afterwards, in the evening, from memory, and an important sentence has already gone. Either way, your presence or your evening pays the price.

Think of a life coach with four sessions back to back on a Thursday. At 7pm she has four blank pages to fill. With automatic summaries, she has four drafts to approve. The difference is counted in evenings.

## What do you need to keep it clean and respectful?

You work with deeply personal material. Before any technology, three rules:

- **Written consent.** Your client knows the session is recorded, why, and how long the recording is kept. She can say no, and the session works perfectly well without it.
- **Delete the audio.** Once the summary is approved, the recording is erased. You keep the note, not the voice.
- **A closed space.** Notes live somewhere protected, not in your inbox or a folder shared with family.

**An AI-generated session note is still a draft: your review is what turns it into a professional note.** The tool can get a name wrong, misread an emotion or skip over a meaningful silence. You correct it. Your judgement as a practitioner is not something you hand over.

## How do you turn the note into follow-up between sessions?

This is where the note becomes valuable for your client, not just for you. **Follow-up between sessions is what makes a coaching relationship last: the person feels you are thinking of her even when you're not meeting.**

From the approved note, three things can go out without you rewriting everything:

- **The evening recap.** A short message: what you covered, the sentence that struck you, the commitment she made.
- **The midweek check-in.** A few days later, one simple question: "How is the breathing exercise going?" You prepared it while approving the note; it goes out on the right day.
- **The next-session reminder.** The day before, with the question you'll pick up. She arrives already engaged.

Read every message before it goes out at first. After a few weeks, you'll know which ones can go as they are and which need your touch.

## Where does it go wrong, and how do you avoid it?

- **Recording everything.** Some sessions shouldn't be recorded: a crisis, a very heavy first meeting. Keep the freedom to switch it off.
- **Sending the raw summary.** The machine's text isn't written for your client. Her recap is shorter and in your words.
- **Too many messages.** A recap, a check-in, a reminder. Beyond that, follow-up turns into noise.
- **Skipping the review.** A wrong name or a personal detail in an automatic message damages trust faster than silence.

**The simplest test: if your client read the session note, would she recognise herself in it?** If yes, the note is right.

With notes that prepare themselves, you get your evenings back and your clients get a level of follow-up they would never have had otherwise. Your attention stays in the session, where it matters.
